How Many Ushers Do You Need for a Nairobi Wedding?

June 2026

One of the first questions couples ask us is simple: how many ushers do we actually need? The honest answer depends on your guest count, your venue, and how many moving parts your day has — but there are useful ratios to start from.

For an intimate garden wedding of up to 80 guests, two to three ushers is usually enough to manage seating, direct guests between ceremony and reception areas, and support the wedding party. For a mid-sized wedding of 150–250 guests, most of our Nairobi clients book four to six ushers, particularly where there is a separate ceremony venue and reception venue requiring guest flow management.

Larger weddings — 300 guests and above, or those with multiple venues across a single day — typically need six to ten staff, split between ushering, guest registration, and VIP or family table management. Church weddings with a formal processional often need at least one dedicated usher per entrance to manage seating without disrupting the ceremony.

Beyond raw numbers, we also consider the shape of your day: Is there a gate or gift table that needs constant attention? Will elderly guests need extra assistance to their seats? Are there multiple entry points guests might use by mistake? These details usually matter more than headcount alone.

Every booking with Sparkle & Serve begins with a short consultation where we walk through your guest list, venue layout, and timeline together, so the staffing plan fits your specific day rather than a generic formula.
